First-reply tools compared (2026): Meta Business Agent, Podium, Perfect Venue, GoHighLevel, HoneyBook AI, Tripleseat, Calendly Callie, Google's GBP agent, and what happens after the first reply
Every tool on this list can send the first reply. We read their pricing pages and help docs to see which ones send the second, what they charge for it, and what you sign.
Short answer
All eight tools automate or draft the first reply; none of their own docs describes a capped, automatic second message with a held time. Perfect Venue's help doc says of First Reply: "Everything after that is you." Meta's agent "stops answering that chat" after a handoff (360dialog docs). HoneyBook and Tripleseat draft for a person to send. Prices run from $199 a month, published (Perfect Venue, annual), to about $399 a month, reported, for Podium Core on a 12-month term.

Every tool on this list sends or drafts the first reply to a customer inquiry. Not one of them, in its own documentation, sends a capped, automatic second message with a held time in it. Perfect Venue's help doc says it plainly about its First Reply feature: "Everything after that is you."7 Meta's agent "stops answering that chat" once it hands off.1 HoneyBook and Tripleseat draft replies for a person to send.1012 Below are the prices, the contract terms and the after-the-first-reply column for eight tools, read on 1 October 2026.
The buying decision: which part of the inquiry are you paying for?#
A small business buying an inquiry tool in 2026 is making a capital allocation decision, even at $200 a month. The money goes to one part of the inquiry's life. Most of the category sells the first part: speed to the first reply.
We think that is the wrong place to spend. Pied Piper's 2026 mystery shop of 3,211 home-services inquiries found 72% got no follow-up at all, and only 28% were offered a time.17 Those leads were not lost at message one. They were lost at message two, which nobody sent.
That is a home-services number, and venues, photographers and consultants should treat it as direction, not as their rate. But the direction matters when one wedding venue booking averages $12,900 (The Knot, 2026, n=10,474).18 The opportunity cost of an unsent second message is a booking, not a few minutes of typing.
Why a first-reply tool looks like the safe buy#
A first-reply tool looks like the safe buy because its result is visible on day one. You submit a test inquiry, a polished answer arrives in minutes, and the demo is over. Few products in this category make the second message as easy to show.
The vendor's unit economics also favour the first reply. It is one message, triggered by one event, with one template. A second message needs state: who replied, what is still missing, which time was offered, when to stop. Building that is harder, and selling it is harder still, because the payoff shows up weeks later as a booking.
So the spreadsheet compares response times and seat prices. It rarely has a row for "what happens on day three." The table below adds that row.
First-reply tools compared: price, contract and what happens after message one#
The comparison below uses each vendor's own pricing page and help docs where they exist, and labelled third-party reports where they do not. Where a vendor does not say, the cell says so. Two of the Podium sources sell competing products, and we mark them.
| Tool | Channels for the first reply | Price and pricing unit | Term | Message #2 | At handoff |
|---|---|---|---|---|---|
| Meta Business Agent | WhatsApp, Instagram, Messenger2 | "Included in WhatsApp Business Premium subscription tiers" (TechCrunch)2; API usage billed monthly, postpaid (360dialog)1 | Not stated | Not described in the docs we read | "Stops answering that chat"; loses earlier context on hand-back1 |
| Podium (with AI Employee) | Business messaging | Not published: "talk to our sales team"3. Reported Core ~$399/mo, Pro ~$599/mo; AI Employee ~$99/mo (Astucia, competitor)4 or $99–399/mo (CostBench)5 | 12 months, auto-renews, one month's written notice (MSA §8.1, quoted by FieldCamp, competitor)6 | Not described in sources we read | Not described in sources we read |
| Perfect Venue First Reply | Email, contact-form inquiries only7 | $199 or $299/mo per location billed annually; $239 or $339 monthly8 | Annual or monthly; 30-day money-back8 | "Everything after that is you"7 | The venue continues "from your inbox"7 |
| GoHighLevel Conversation AI | SMS, web chat, Messenger, Instagram, Google messages; email not listed (third-party guide)9 | Not reviewed for this piece | Not reviewed | Users report it needs a specific step built (r/gohighlevel) | Depends on escalation rules the user configures9 |
| HoneyBook AI Composer | Project emails and contact-form leads10 | Plan price not listed here; one reviewer: "Honeybook went from $200 to over $600"11 | Not reviewed | Drafts only: "click Send when you're ready"10 | The owner is already the sender |
| Tripleseat AI Compose | Inquiry Inbox12 | Not published: "Pricing depends on volume, locations, add-ons, and use case"13 | Not published | Drafts: "Your team reviews, edits if needed, and sends"12 | The team is already the sender |
| Calendly Callie | Email threads where the owner copies Callie in14 | Not disclosed; access "aligned to plan level" with Standard Plus and Teams Plus14 | Plan terms | Coordinates the owner's own meetings; not described for inbound inquiries14 | Not described |
| Google Business Profile AI agent (pilot) | Business Profile messages, US-only15 | No price announced in the coverage we read | Pilot; no official documentation15 | Not described | A "Customer handoff" toggle notifies the owner; items land in "Needs your attention"15 |
| Valet (for reference) | Email, website forms, listing and marketplace lead emails, the owner's free Valet page | Small monthly base plus a fee only for bookings or quotes Valet wins, capped monthly (early access) | Month to month | Two follow-ups at most by default, each with a held time, missing detail or quote expiry | Owner gets one-tap replies; customer is told when the owner will reply |
GoHighLevel's channel list comes from a third-party guide, not GoHighLevel's own documentation, and should be checked. Google's pilot has appeared and disappeared since June 2026. For context on scale, Chili Piper's entry Routing & Scheduling plan is $15,000 a year with 15 seats.16
What the matrix says, tool by tool#
Meta Business Agent covers the DMs on a phone and nothing outside them. Its developer docs also note the handoff message is fixed and "can't be adapted per customer language."1 More in what Meta's Business Agent answers.
Podium is the tool where the term matters more than the monthly price. A 1-star Trustpilot reviewer wrote in February 2026 that "you get locked into 12 months, so you can't even cancel once you realize how bad the software is."19 The same page carries 5-star reviews praising its support. A thread in r/smallbusiness (40+ comments, c. 2023) said the company would "rope you in with a contract."
Perfect Venue is the most candid vendor on this list. Its First Reply arrives "about 5 minutes later," personalised to the inquiry, and only for contact-form inquiries.7 A venue can tell it to hold back pricing for a call.7
GoHighLevel can be configured to follow up, which is different from following up by default. A thread in r/gohighlevel (10+ comments, c. 2025) answered the question "Conversation AI Agents don't follow up?" with: "Most AI agents won't follow up unless you set a specific step for that."
HoneyBook and Tripleseat both chose drafts. HoneyBook's composer needs "at least 2 client emails" in a project before it suggests replies on existing work.10 Drafts are a defensible safety choice. They also mean the second message still waits for the owner's free minute.
Calendly Callie and Google's agent sit at the edges. Callie works inside the owner's own scheduling threads.14 Google's agent triages, and the owner inherits the "Needs your attention" tab.15 More in Google's GBP AI agent explained.
The message #2 teardown#
Message #2 is the reply a business sends when the customer has gone quiet after the first answer. It is where the booking is usually won or lost, and it is the column most tools leave blank. Here is what a useful one contains, set against what the first reply already did.
Message #2 does three things the first reply could not. It carries a deadline that is real, not invented. It asks for the one missing detail that changes the price. And it is counted, so the customer is not chased forever.
Some tools in the matrix can be configured to send something like it; GoHighLevel users describe building that step themselves. The difference is whether the product owns message #2, or whether the owner does. For the wording itself, see second and third follow-ups that aren't "just checking in".
The operating principle: buy the second message, check the pricing unit#
The principle we would put in front of any owner is simple: buy for the second message, and check what the pricing unit rewards. A tool priced per seat earns the same whether you book or not. A tool on a 12-month term earns the same whether it works in month two or not.
- Ask who owns message #2. If the vendor's answer is "you," as Perfect Venue's help doc says, price your own time into the decision.
- Ask what the customer hears at handoff. "It stops answering" is an honest answer. It is also a customer waiting in silence.
- Read the term before the feature list. A month-to-month plan lets you leave when the tool stops paying for itself. A 12-month auto-renewal with one month's notice does not.6
- Find the pricing unit. Per seat, per subscription tier, per conversation, per outcome. The unit tells you what the vendor is paid to maximise.
- Ask for a record. Can you see what was sent, when, from which facts? If not, you will check the tool by hand, which is the work you bought it to remove.
How we applied it at Valet#
At Valet we took that principle and made product decisions from it, several of which cost us something. Each one is listed in our product rules, not in a roadmap.
The Valet follow-up cap. Two follow-ups by default, each carrying a held time, a missing detail or a quote expiry. Then Valet stops and tells the owner why. We gave up the late responder who would have answered a fourth nudge.
The Valet Inquiry States. Every inquiry is New, Answered, Time held, Followed up or Booked, or closed with a reason logged. Nothing sits in "answered" without a next step and a time.
Money waits for the owner. Discounts, refunds, complaints, contracts and deposits go to the owner with one-tap replies, and the customer is told when the owner will reply. That is slower on exactly the inquiries that matter most. We chose it anyway, because a bot that keeps talking after it should stop is how a business ends up honouring a price it never set.
The pricing unit. During early access the price is a small monthly base plus a fee only for bookings or quotes Valet wins, capped monthly, month to month. When Valet does not win the booking, we do not earn the fee. That is margin dilution we accepted so the incentive points at the booking.
What this costs, and the question nobody has answered#
The trade-offs are real. Valet answers written inquiries only: no phone, and no WhatsApp or Instagram DMs. It does not connect to Podium, Perfect Venue, Tripleseat or HoneyBook; it works on the address an owner forwards to it. A venue that lives inside one of those platforms would run Valet beside it, not inside it.
The open question for the whole category is how vendors will count success once the first reply is free everywhere. A first reply in five minutes is easy to measure. A booking three weeks later, after two follow-ups and a held tour, is harder to attribute. Until vendors publish that number, owners should count it themselves. The Lost Lead Audit is one way.
Where Valet fits#
Valet is a small business's own AI assistant for written inquiries. You forward an address such as bookings@ or hello@ to a private Valet address, with nothing to migrate. Replies go out from your own address once your domain is verified, signed as your business's AI assistant. It answers only from your facts, offers and holds real times from your calendar, follows up at most twice, hands money and complaints to you, and leaves a Valet receipt for every reply. It never reads the rest of your inbox. Valet serves the US and Canada.
Before you compare tools, see what your current setup loses: the free lead check takes 10–20 recent inquiries and shows what went unanswered, what stopped after one reply, and what it was worth. The broader case is in the first reply is now free.
Questions people ask
Which AI tools automatically follow up with leads after the first reply?
None of the eight tools reviewed here describes a capped, automatic second message in its own documentation. Perfect Venue's First Reply sends one email; HoneyBook and Tripleseat draft replies for a person to send; GoHighLevel users report its AI agents need a specific step set up before they follow up.
How much does Podium cost in 2026?
Podium's pricing page asks buyers to talk to sales. Third-party guides report Core at about $399 a month and Pro at about $599, with the AI Employee reported at $99 or $99 to $399 a month, on a 12-month initial term.
What is the difference between Perfect Venue and Tripleseat for inquiries?
Perfect Venue publishes prices from $199 a month per location (annual) and sends one automated First Reply to contact-form inquiries. Tripleseat does not publish prices; its AI Compose drafts replies that the venue team reviews and sends.
Is Meta's Business Agent free?
We could not confirm a free version. TechCrunch reported in June 2026 that it is included in WhatsApp Business Premium subscription tiers. It answers WhatsApp, Instagram and Messenger messages, not email or website forms.
What should I ask before buying a first-reply tool?
Ask what happens to the inquiry after message one, who sends message two and when, what the customer is told at handoff, what record each reply leaves, and what the pricing unit and minimum term are.
