When do couples send wedding inquiries? Nights, weekends, holidays, and who answers while you're at a wedding

Couples write when they have time, which is when you are shooting, hosting or setting up. The Monday catch-up and the 'I'm at a wedding' autoresponder both fail for the same reason, and the fix is a weekend reply standard you can write down.

Short answer

Couples send a large share of wedding inquiries in the evening, at weekends and on public holidays, according to Indigo Digital (July 2026), which is when vendors are working events. No neutral source publishes an hour-by-hour count. The cost of waiting is measured: couples contact about 5 vendors per category, and replies under three hours make them 2.2x more likely to reply (WeddingPro). A weekend inquiry needs a factual answer within minutes and a stated time for your personal reply.

MMCG venue market report, 2026 (M)

Couples send a large share of wedding inquiries in the evening, at weekends and on public holidays, according to a venue-marketing agency's July 2026 benchmark1. That is when photographers are shooting and venues are hosting. Nobody publishes an hour-by-hour count for wedding vendors yet. What is measured is the cost of the wait: couples reach out to about 5 vendors per category, and a reply in under three hours makes them 2.2x more likely to write back2. So the question is less "when do they write?" than "who answers on Saturday?"

When do couples send wedding inquiries?#

Couples send wedding inquiries when they have free time, and the best public evidence says that means evenings, weekends and holidays. Indigo Digital, which runs marketing for venues, put it plainly in July 2026: "A large share of wedding and event enquiries arrive in the evening, on weekends, and during public holidays, precisely when function teams are running events rather than sitting in an inbox"1. The agency gives no percentage, so treat it as an informed observation, not a measurement.

Two seasonal facts sit on top of the weekly pattern. Tripleseat's 2026 Event Intelligence Report, covering 4.4 million events in 2025, names January as the top month for event-lead creation3. MMCG's 2026 venue-market report puts 69% of US weddings between May and November, with October alone at 17%4. Inquiries pile up in winter. Weddings pile up in summer and autumn. A vendor working every Saturday from May to November is answering next year's couples on the same weekends they are working this year's.

What a weekend inquiry looks like from the couple's side#

The couple's side of a weekend inquiry is recorded in public forums, and it reads like a countdown. On WeddingWire's forums in May 2024, a poster described a venue they loved: two emails and a phone call over a week, then nothing6. The replies she got were blunt. "If they don't respond after 5 business days, move on to some place else," wrote one. "Responses should be within 24 hours," wrote another. A third asked the question every vendor should hear: "If they're not responding now, will they respond when issues crop up later?"6

The same complaint had surfaced five years earlier. In July 2019 a couple asked, "Why do vendors go weeks to months without ever responding to messages on WeddingWire, their contact pages or even calls??" One answer: "If a vendor doesn't contact within a week I just move on." Another described the method most couples use without naming it: "The ones that responded back timely, I started a conversation with them. The ones I never heard from...I passed on those."7

Owners outside weddings describe the same gap from the other chair. A thread in r/CRMSoftware (20+ comments, September 2026) opened with the problem in one line: "a lead asks a question at night, but the first useful reply comes the next morning." Its top answer: "Automation for the first touch, real person for the follow-up has been the sweet spot for us."

Why wedding season and inquiry season collide#

Wedding season and inquiry season collide because the same small team does both jobs, and the event always wins. A photographer on a ten-hour wedding day is not reading email. A venue coordinator running a reception is on the floor, not at the desk. The inbox becomes an exception queue that nobody works until Monday.

Photographer-software company ShootQ described the strain in January 2026: "Most photographers start feeling the strain somewhere between eight and fifteen active clients at once." Its list of symptoms is short: "Missed replies. Forgotten timeline steps. Answering the same question for the fifth time this week."5 The makeup-artist version appears in r/makeupartists, in a thread titled "how do you stay on top of all the DMs?" (10+ comments, 2025), from an artist "constantly getting DMs from potential clients but struggling to" keep up.

The stakes are easy to put in dollars. As an inference, not a measurement: a solo photographer with 100 inquiries a year who loses 10 of them to weekend delay, at roughly one booking in five (the ratio Indigo cites for qualified venue enquiries13), loses about two weddings. At The Knot's 2026 average photographer spend of $3,00011, or the $5,800 average among 138 established photographers surveyed by Fearless in 202512, that is $6,000 to $11,600 a year.

What vendors tried first, and why each fix stalled#

Vendors have tried three fixes for weekend inquiries, and each one fails at a predictable point. The record of those failures is more useful than any single fix.

The Monday catch-up. The default is to answer everything in one sitting after the weekend. A Friday-night inquiry answered at 10 a.m. Monday is about 60 hours old. Leadferno's 2024 test of 225 small-business contact forms found the average first human reply took 17 hours 49 minutes, and 42.6% of forms got no reply at all8.

The phone at the reception. Some owners answer from the venue bathroom or between portraits. The replies are short, from memory, and often end with "I'll send details Monday", which means the couple still waits for the answer. Others refuse on principle. A long-running r/smallbusiness thread, "I have a hard stop rule. Does anybody else do this?" (130+ comments, about four years old), is full of owners who stopped answering after hours to stay sane. Both choices are reasonable. Neither answers the couple.

The instant brochure. The third fix is automation. A solo photographer's story, posted in r/HoneyBook_Official (about July 2026), sums it up: "By the time he responded manually, the window had closed." So he built a system where, the moment someone inquires, they get his brochure. That works for message one. It is also where most automation stops.

The failure nobody predicted: the instant reply that ends the conversation#

The instant reply fixed the first hour and moved the gap to the second message. A couple who gets a brochure at 9:14 p.m. on Saturday often replies with a question: does the package include travel, is the venue's ceremony room big enough, can you hold the date until we tour? That second message arrives on Sunday. It waits until Tuesday.

Software vendors say this out loud. Perfect Venue's help centre describes its automated first email this way: "First Reply handles the first touchpoint; everything after that is you."9 The data says the same about what happens next. In Pied Piper's 2026 mystery shop of 3,211 home-services inquiries, 72% got no follow-up at all and only 28% were offered an appointment10. Leadferno reported that 65.5% of businesses made one attempt and stopped8. Neither study covers wedding vendors, but both describe the same small teams and the same inbox habits.

Speed alone also has a ceiling. Thumbtack reported in November 2025 that pros who replied within 30 minutes were 25% more likely to be hired than those who replied within three hours14. WeddingPro's figure points the same way at a slower threshold: under three hours, 2.2x more replies2. Both measure the first reply. Neither says that a brochure with no answer and no next step counts.

Couple · Sat 21:14Hi, is Saturday 12 June 2027 available? About 120 guests at [venue]. What would 8 hours cost?
Autoresponder · Sat 21:14Thanks for reaching out. I'm photographing a wedding this weekend and will reply as soon as I can.
Couple · Sun 10:02Also, do you travel to [town]? We're deciding this week.
First real answer: Tue 09:30. Elapsed: 60 hours. The couple had replies from other photographers on Sunday.

What a weekend reply has to contain#

A weekend reply works when it does three things the autoresponder does not: it answers the question from your own facts, it offers a real next step with a time, and it tells the couple when you will reply personally. Indigo's benchmark for venues proposes a first response "within 60 seconds, on every channel, 24/7", a site visit "offered in the first response, with live availability where possible", and "Human handover: same day, with full conversation context attached"1. WeddingPro's guidance is gentler: reply within three hours, and before the 24-hour mark2.

The difference between those two standards is staffing, not principle. Both agree that "I'll get back to you" is not an answer. The before-and-after below shows the same Saturday inquiry handled three ways.

The last row matters. A fast reply must never invent a price or a policy to fill a gap. Anything that is not already on your list should wait for you, with a stated time.

WEEKEND INQUIRY STANDARD (edit the brackets; review each season)

Covers: inquiries arriving Fri 18:00 to Mon 09:00, public holidays,
and any day I am working an event.

1. FIRST ANSWER: within [15 minutes / 3 hours] of arrival.
Must include, from my facts sheet only:
   - whether the date is open (from my calendar, not memory)
   - the price or range for what they asked about
   - one policy they will need next (travel / minimums / hold)
2. NEXT STEP: offer two real times for a call or tour,
no earlier than [Mon 10:00]. Hold the date until [day] if asked.
3. PERSONAL REPLY PROMISE: "I'll reply personally by [Mon 18:00]."
Keep it. If I can't, send a one-line update before that time.
4. NEVER ON A WEEKEND WITHOUT ME: discounts, custom packages,
contract changes, deposit or refund questions, complaints.
Reply: "[Name] will answer this personally by [time]."
5. SECOND MESSAGE: if the couple replies with a question, answer it
from the facts sheet the same day. Do not let it wait for Monday.
6. MONDAY CHECK (20 minutes): every weekend inquiry has a state
(answered / time offered / time held / waiting for me) and a date
for the next step. Anything with no next step gets one now.

and signs as my assistant.

How to find out when your own inquiries arrive#

Your own inquiry timestamps answer the question better than any industry average, and you can collect them in about an hour. Search your inbox for the last 90 days of inquiries (contact forms, directory leads, direct email). For each, note the weekday, the hour it arrived, and the hour of the first real reply. Then tally them in a grid: seven columns for days, six rows for four-hour blocks.

Two patterns usually show up. The first is where inquiries arrive. The second is where the gap between arrival and reply is longest, and that cell is your weekend standard's real target. The full method, including how to value what you find, is in the 90-day Lost Lead Audit.

How we got this: there is no published hour-by-weekday heatmap for wedding inquiries. Valet has not published this figure; it is something Valet could measure from free lead checks, with owners' consent. No figure from that work appears in this article.

If the grid shows a cluster of Saturday and Sunday inquiries waiting two days, the first reply is not your only problem. Read why couples ghost after pricing for what the second message should say, and why the follow-up is where most leads are lost.

Where Valet fits#

Valet is an AI assistant for a small business's written inquiries: email to your own address, website forms, and directory or marketplace lead emails. It answers within minutes at any hour, from your own price list, packages, calendar and policies, and never invents a price or discount. It offers real times from your calendar and holds them. Discounts, contracts, deposits and complaints go to you with one-tap replies, and the couple is told when you will reply. Every reply is signed as your assistant and says it is AI, and each one has a receipt showing the rule and sources used.

To see what your own weekends cost, start with the free lead check: forward 10 to 20 recent inquiries and see what went unanswered, what stopped after one reply, and what it was worth.

Questions people ask

When do couples send wedding inquiries?

Indigo Digital (July 2026) reports that a large share of wedding and event enquiries arrive in the evening, at weekends and during public holidays. January is the top month for event-lead creation in Tripleseat's 2026 report. No public dataset breaks inquiries down by hour and weekday for wedding vendors.

Is an 'I'm shooting a wedding this weekend' autoresponder enough?

It confirms receipt but answers nothing and offers no next step. Couples are comparing about five vendors per category (WeddingPro), so a holding message on Saturday usually means the first real answer arrives after other vendors have already replied.

How fast should a wedding vendor reply on a weekend?

WeddingPro advises replying within three hours and before the 24-hour mark; Indigo Digital proposes a first response within 60 seconds and same-day human handover for venues. A practical standard is a factual answer within minutes and a personal reply by a stated time.

How do I find out when my own inquiries arrive?

Export or search the last 90 days of inquiries, note the weekday and hour each one arrived and when it was first answered, and tally them in a 7-by-6 grid. The cells where inquiries arrive and replies lag are where to set a weekend standard.
