Hire a VA, a receptionist, or software? VA vs AI receptionist vs AI inquiry handler: what each actually does with an inquiry
Most comparisons line up hourly rates against monthly plans. The data that predicts lost customers is elsewhere: who follows up, who hands off, and whether a human is reachable at all.
Short answer
Choose by what happens after the first reply, not by hourly price. A VA covers only paid hours, a receptionist service answers calls, an AI receptionist answers calls around the clock, and an AI inquiry handler answers written inquiries, follows up and books. The design rule comes from Five9's 2026 survey of 3,000 consumers: trust in AI resolving an issue was 55% with a human path and 26% without one.

Choose between a VA, a receptionist service, an AI receptionist and an AI inquiry handler by what each does after the first reply, not by the hourly price. The headline figure is 26%. In Five9's 2026 survey of 3,000 consumers, 26% trusted AI to resolve an issue when no human path existed. With a human path, 55% did1. Price comparisons ignore that gap. The rest of this page measures each option on the steps that decide a booking: coverage, follow-up, handoff and accountability.
Why is the hourly-rate comparison incomplete?#
The usual comparison puts four prices side by side. A VA on Upwork has a median rate of $13 an hour, with a typical range of $10 to $203. A full-time receptionist has a median wage of $18.27 an hour, $38,010 a year, before benefits4. Smith.ai's human receptionist Starter plan is $300 a month for 30 calls5. AI phone agents such as Goodcall list $79 to $249 per agent per month15.
Those numbers are accurate. They answer the wrong question. Each one prices an input: an hour, a call, a seat. None prices what happens to an inquiry after hello.
The base rate for that is poor across the market. Pied Piper's 2026 mystery-shop study sent 3,211 inquiries to home-services businesses. 72% received no follow-up at all. 28% were offered a time13. Those businesses had people answering. The loss happened later.
So the comparison needs a different denominator. Not cost per hour. Cost per inquiry that reached a booked time or an honest "the owner will reply by Tuesday".
What does each option actually do with an inquiry?#
Each option handles a different slice of the inquiry's life, and the slices that are missing are where bookings go. The table maps four options against five steps. It uses vendor pages where they exist and reviews only to show a failure mode, not a rate.
| Step | Virtual assistant | Human receptionist service | AI receptionist (voice) | AI inquiry handler (written) |
|---|---|---|---|---|
| Channels | Whatever you give access to | Phone; some add chat | Phone | Email, contact forms, marketplace lead emails |
| Hours covered | Paid hours only | Smith.ai lists "24/7"5 | Any hour | Any hour |
| Answers from your facts | From your instructions, if read | From a script; one 2023 review: "Receptionists do not read instructions"6 | From a configured knowledge base | From your facts sheet; anything else waits |
| Follows up after silence | Only if tasked and checked | $0.50 per call for one text or email follow-up (Smith.ai)5 | Rarely documented | Built in, with a cap |
| Hands off to you | By message, judgement-based | Message or transfer | Transfer; 56% of AI-to-human transfers failed in one 2025 study2 | By rule, with a stated reply time |
The 56% figure comes from dealership service calls, 2,105 dealerships plus 200 independents, and may not transfer to other trades. Review quotes are single accounts, not rates.
The virtual assistant: good judgement, limited hours#
A VA is the only option that can read a strange email and make a sensible call. That is the case for one. The limit is coverage. A VA at 10 hours a week and $20 an hour costs $10,400 a year and covers 10 of the 168 hours in a week. The arrangement sole practitioners described on AccountingWEB in January 2022 was a person who would "read my emails" and contact the owner about anything urgent14. It works. It also makes the VA the only memory of what was promised.
The human receptionist service: phone first, per call#
A human receptionist service answers the phone, takes details and can book. Smith.ai's Starter plan is $10 a call, with booking at $1.50 and a text or email follow-up at $0.50 per call5. The failure mode in reviews is instructions. One Trustpilot reviewer in April 2023 wrote that receptionists were "scheduling telephone consults without offering in-person or virtual options"6. The same Trustpilot page shows 89% of Smith.ai's reviews at five stars and 7% at one star, so treat this as one account.
The AI receptionist: always on, weakest at the handoff#
An AI receptionist answers calls at any hour for a flat or per-call fee. The measured weak point is the transfer. Pied Piper's 2025 service-telephone study found 56% of AI-to-human transfers failed, while AI-only calls scored higher than human-only calls2. Reviews of Smith.ai's AI receptionist on G2 (4.8 out of 5, 32 reviews) include a law practice in August 2026: "At times it will not transfer the calls to the office."7 The tool can be good. The handoff is where the customer meets the gap.
The AI inquiry handler: written channels, rules and caps#
An AI inquiry handler is software that answers written inquiries from the owner's facts, offers and holds real times, follows up a limited number of times, and sends anything outside its rules to the owner. It does not answer calls. Its risk is the same as any AI: a wrong answer sent at 2 a.m. The controls that limit that risk are a closed facts sheet, topic rules and a record of every reply.
A fifth pattern sits beside these: AI that drafts but never sends. HoneyBook's AI Composer "does not auto-send. Users must review and manually send each suggested response"11. One Hacker News user of a drafting tool reported sending "about 50% of the drafts without editing" (November 2024)12. Drafts save typing. The owner is still the follow-up system.
What explains the trust gap, and what else could?#
The 55% versus 26% gap1 has one plain reading: people accept a machine when they can still reach a person. Five9's 2025 survey of 1,006 consumers points the same way. 72% were open to AI interactions "provided they can escalate to a human when needed", and 40% would stop doing business after one bad experience8.
Competing explanations deserve space. First, selection bias. People who reached a human path may have had easier problems. Second, channel. Five9 asks about customer service broadly; a pre-sale inquiry to a photographer is lower stakes than a billing dispute. Third, sample. The 2026 figures come from a secondary summary of 3,000 consumers in the US, UK and Germany1, not from the full report.
Owner forums echo the finding, with their own bias. A September 2026 r/PickAorB thread about an HVAC company that lost a job after switching to an AI receptionist drew 1.3K+ comments; one reply said the writer would be "happier to reach the contractor's voicemail"9. A thread in r/Entrepreneur (210+ comments, September 2026) has a top answer that people are "increasingly frustrated interacting with AI when they expect a human"10. Viral threads over-represent bad outcomes. They still show where the anger lands: on the trap, not the tool.
Methodology and limits#
This comparison uses public vendor pages retrieved on 1 October 2026, two consumer surveys, one industry mystery-shop study, and dated reviews. No Valet customer data is used, because Valet has none to publish yet.
- Denominators. Five9 2026: 3,000 consumers (secondary summary). Five9 2025: 1,006 consumers, US, UK and Canada. Pied Piper 2025: 2,105 dealerships plus 200 independents. Pied Piper 2026: 3,211 home-services inquiries.
- Reviews. Single accounts show that a failure happens. They do not show how often.
- Prices. VA rates are marketplace medians, not quotes. Receptionist wages exclude benefits and payroll taxes.
- Missing data. No public study we found measures follow-up rates by option for written inquiries. Valet could run that comparison on forwarded inquiries, but no such dataset exists yet.
The decision matrix: which option fits your inquiries?#
The matrix below turns the five steps into four questions you can answer about your own business. The design principle is the trust gap: whichever option you choose, a customer must be able to reach you, and must be told when.
| Question | Virtual assistant | Human receptionist service | AI receptionist (voice) | AI inquiry handler (written) |
|---|---|---|---|---|
| Coverage: which hours are answered? | Paid hours (e.g. 10 h of 168) | Listed 24/7 (Smith.ai) | Any hour | Any hour |
| Cost per booking: what moves the bill? | Hours, booked or not; $13/h median | Calls, booked or not; $10/call base | Seat or calls; e.g. $79–249/agent/mo | Varies; some price per outcome |
| Accountability: can you see what was said and why? | Only what the VA reports | Call summaries, recordings at extra cost | Transcripts, if provided | Ask for a record of each reply and its sources |
| Handoff: what happens when it can't answer? | Judgement; depends on the person | Message or transfer | Transfer; the weak point in the data | Rule-based; customer told when you will reply |
| Follow-up: who chases a quiet lead? | The VA, if tasked | One message, paid per call | Rarely documented | Built in; check the cap |
| Exit: how do you cancel? | Notice per your agreement | Smith.ai: month to month | Check term and trial terms | Check term and trial terms |
| Fits best when | Inquiries need judgement and arrive in office hours | Most leads call | Most leads call, out of hours | Most leads write |
One step applies to all four. Whatever you write for a VA or a receptionist should be a facts sheet, not a letter of instructions: prices, packages, availability rules and the list of topics that come to you. The same sheet then serves a person or software. A template is in FAQ page vs facts sheet; the full cost comparison, with a calculator, is in what it costs to answer one inquiry.
What would change this conclusion?#
The conclusion is "choose by follow-up and handoff, not by hourly price". Three findings would weaken it. If your inquiries mostly arrive by phone, a voice option wins on channel alone. If your booking rate is already high and follow-up rarely matters, the cheapest coverage wins. And if a future study shows customers trust AI equally with or without a human path, the handoff column matters less. On today's data, 26% versus 55%1, it matters most. For handoff design specifically, see what "never stuck with a bot" has to mean.
Where Valet fits#
Valet is an AI inquiry handler for written inquiries: email, website contact forms, listing and marketplace lead emails, and requests on your free Valet page. It answers only from your facts, offers real times from your calendar and books them, and follows up at most twice by default. Money, complaints, contracts and anything not on your sheet go to you with one-tap replies, and the customer is told when you will reply. Each reply says it is AI and has a Valet receipt. It does not answer phone calls. To compare against your current setup, start with the free lead check: forward 10 to 20 recent inquiries and see what went unanswered or stopped after one reply.
Questions people ask
Should I hire a virtual assistant to answer emails?
A VA works if your inquiries arrive during the hours you pay for and your instructions are written as facts the VA can quote. Upwork lists a $13 median rate. A VA does not cover evenings or weekends unless you pay for them, and someone still has to check the follow-ups.
What is the difference between an AI receptionist and a virtual assistant?
An AI receptionist answers phone calls automatically, usually at any hour, and takes messages or books. A virtual assistant is a person working set hours who can handle email, scheduling and judgement calls. They solve different channels: calls versus whatever the VA is given.
What is an AI inquiry handler?
An AI inquiry handler answers written inquiries (email, contact forms, marketplace lead emails) from the owner's own facts, offers and books times, follows up a limited number of times, and hands anything outside its rules to the owner with a stated reply time.
Do customers mind talking to AI?
Many accept it if a person is reachable. Five9's 2025 survey of 1,006 consumers found 72% open to AI if they can escalate to a human, and 40% would stop doing business after one bad experience. Its 2026 survey found trust in AI resolution fell from 55% to 26% without a human path.
